What does your status meeting actually cost?

The arithmetic is unglamorous and usually enough. Take your own numbers, not ours.

The method

Four lines of arithmetic

    Count the room

    Attendees × meetings per week. A daily stand-up with eight people is forty attendances a week, not five.

  2. 02

    Add the context switch

    Add ten minutes either side of every meeting. This is the number most calculators quietly leave out, and it is usually larger than the meeting.

  3. 03

    Multiply by loaded cost

    Use fully loaded hourly cost, not salary. For most European product teams this lands between €45 and €85 an hour.

  4. 04

    Compare against €12 a seat

    Growth is €12 per seat per month billed annually. Most teams cross break-even in the first fortnight and stop counting.

Where this number lies.

Recovered hours are not automatically productive hours. A team that reclaims four hours a week and spends them in a different meeting has bought nothing.

The teams that see the full number are the ones that delete the meeting from the calendar rather than shortening it. Half-measures give roughly half the result, which is still a good trade, but do not plan on the whole figure.
